Position Summary

We are seeking a highly organized and proactive Administrative Coordinator II to join our team. This position requires a strong understanding of human resources principles, administrative skills, and the ability to handle sensitive and confidential information. You will contribute to the overall success of the organization by supporting the development and maintenance of a positive and productive workplace. 

Responsibilities:

  • Assists in the onboarding process by conducting HRIS data entry and facilitating the onboarding process for new hires. 
  • Maintain accurate and up-to-date filing, auditing, employee records and HR databases and complete necessary paperwork and/or forms. 
  • Coordinate the offboarding process for departing employees which includes scheduling off-boarding interviews and distributing the appropriate exit documents.  
  • Ensure that all offboarding tasks, such as return of company property and termination of system access, are completed in a timely and organized manner. 
  • Provide general administrative and clerical support to management and staff.  
  • Assist in organizing and coordinating site events and other special projects. 
  • Coordinate catering orders for meetings, events, and employee gatherings, ensuring dietary preferences and restrictions are accommodated. 
  • Manage incoming mail. 
  • Prepare and distribute internal and external communications. 
  • Handle confidential information with discretion and professionalism. 
  • Conduct research, compile data, and prepare reports as requested. 
  • Oversee and manage general office administration tasks, including office supplies
  • Monitor and manage office supplies, ensuring a well-stocked and efficient work environment.
  • Greet and welcome visitors in a professional and friendly manner.
  • Maintain a clean and organized reception area.
  • Assist in scheduling and coordinating meetings and conference room reservations.
  • Collaborate with other departments to facilitate cross-functional communication and cooperation.

Requirements:

• Strong understanding of HR principles, practices, and employment laws.

• Excellent written and verbal communication skills. 

• Detail-oriented with a high level of accuracy. 

Education and Experience:

• Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

• 1-3 years of administrative, clerical or office support experience preferred. 

• Proven experience in HR and executive administration roles.

The pay range reflects the expected base salary for this position. Final compensation will be based on role, level, skills, experience, and geographic location.
