Accounts Receivable Specialist

Jenny Bour with Robert Half is looking for an Accounts Receivable Specialist to support the financial operations of a busy organization in Amherst, New York. In this AR Specialist role, you will oversee billing and incoming payments, help keep customer accounts accurate, and contribute to timely reporting across the receivables function. This Accounts Receivable Specialist position is well suited to someone who is organized, detail-oriented, and comfortable balancing routine processing with issue resolution and cross-functional communication.

Responsibilities:

• Prepare and issue customer invoices accurately and on schedule, ensuring billing records are complete and up to date.
• Manage collection activity by tracking outstanding balances, following up on overdue accounts, and applying received payments correctly.
• Review account activity to identify late payments, missing remittances, and other exceptions that require attention.
• Investigate billing and payment variances, working with internal teams and customers to resolve discrepancies promptly.
• Produce and distribute recurring customer account statements to support timely payment and account transparency.
• Maintain organized receivables files and supporting documentation for customer accounts and transaction history.
• Compile gratuity information on a weekly basis to support payroll processing requirements.
• Prepare receivables reporting for month-end, quarter-end, and year-end review, including ad hoc analyses requested by management.

Qualifications:

• Previous experience in accounts receivable, billing, collections, or a closely related accounting support position.
• Working knowledge of cash application, commercial collections, and customer account reconciliation practices.
• Proficiency with Microsoft Office and accounting platforms; experience with Sage Intacct is an advantage.
• Associate degree in Accounting, Business, or a related field preferred.
• Strong numerical, analytical, and problem-solving abilities with a high level of accuracy.
• Clear communication and customer service skills, with the ability to work effectively across departments.
• Ability to manage deadlines independently while also contributing as a collaborative team member.
