Data Entry Clerk / Dispatcher
Responsibilities:
• Maintain accurate records in Quickbase and related platforms, including entering and updating vendor purchase order information.
• Review submitted vendor purchase orders and process approvals with close attention to completeness and accuracy.
• Create and manage job records for quoted work, new maintenance agreements, and renewal activity.
• Monitor preventative maintenance contracts and help coordinate scheduling to keep service commitments on track.
• Partner with customer service representatives to prepare job files and collect the documents needed for service execution.
• Communicate with vendors and internal departments to resolve discrepancies and keep information current across systems.
• Prepare and refresh reports covering job progress, vendor authorization status, and upcoming contract renewals.
• Provide administrative support for operational initiatives and assist with additional projects as business needs evolve.
Qualifications:
• At least 1 year of experience in data entry, dispatching, customer support, or a related administrative position.• Strong accuracy and attention to detail when entering, reviewing, and maintaining business records.
• Ability to manage multiple priorities while meeting deadlines in a fast-paced onsite environment.
• Comfortable working with database systems, spreadsheets, and digital reporting tools.
• Clear written and verbal communication skills for working with vendors, service teams, and internal stakeholders.
• Analytical skills with the ability to review data, identify inconsistencies, and support reporting needs.
• Dependable organizational skills and the ability to follow established processes with minimal supervision.
Compensation
