Front Desk Coordinator
Position Overview
A growing East Bay organization is seeking a professional and customer-focused Front Desk Coordinator to serve as the first point of contact for visitors, clients, vendors, and employees. This role is responsible for creating a welcoming office environment while supporting the day-to-day administrative operations that keep the office running efficiently.
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Strong communication skills, professionalism, and a service-minded approach are essential to success in this position.
Day-to-Day Responsibilities
- Greet and assist visitors, clients, vendors, and employees with professionalism and enthusiasm.
- Answer, screen, and direct incoming calls using a multi-line phone system.
- Respond to general inquiries and provide exceptional customer service.
- Maintain visitor logs and ensure guests are properly checked in and directed.
- Manage incoming and outgoing mail, packages, and deliveries.
- Coordinate conference room scheduling and meeting logistics.
- Prepare meeting spaces and assist with internal events as needed.
- Ensure the reception area, conference rooms, and common areas remain organized and professional.
- Perform data entry, filing, document scanning, and record maintenance.
- Assist with preparing correspondence, reports, and presentations.
- Support various departments with administrative projects and special assignments.
- Monitor and maintain office supply inventory.
Qualifications:
- 2+ years of experience in a receptionist, front desk, customer service, or administrative support role.
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal abilities.
- Ability to multitask, prioritize responsibilities, and adapt to changing needs.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Strong attention to detail and organizational skills.
- High level of professionalism, reliability, and confidentiality.
Compensation
