Role Overview:

This position will have basic administrative office functions to support PMO and accounting functions. The Office Coordinator will assist in processing daily, weekly, and summary production reports from employees and contractors for systemic posting into the accounting/payroll systems; provide administrative support by performing general billing duties, such as; compile data, compute fees, and prepare information, and purchase order requests.

What you’ll do

  • Perform all general office duties

  • Assist in processing internal facilities and maintenance requests using our internal ticketing system to track and manage issues and requests

  • Assist daily, weekly, and summary production reports from employees and contractors for input into the accounting/payroll systems; provide administrative support by performing general billing duties, such as; compile data, compute fees, and prepare information, and purchase order requests

  • Assist in As Builts prints as requested by Project Manager 

  • Assist with inventory of all office supplies, stocks supplies, and may place office supply orders from time to time

  • Assist with general office set up and cleanup, including stocking items each morning, general tidiness of common areas (conference rooms and kitchen)

  • Coordinates all facility activities with building management and outside vendors, as applicable

  • Perform any other clerical duties and other tasks as needed

  • All Other duties as assigned

What you’ll need

  • The ability to read and understand maps such as exact ordinances, geometry and locations of all elements

  • Ability to multitask and have strong attention to detail

  • Quickly adapt to new technologies

  • Strong Microsoft Office such as Word and Excel 

  • Customer service skills

  • Be familiar with Google tools such as: Gmail, Google Docs, Google Sheets

  • Experience in the facility services or construction field is helpful for the successful candidate
