Events & Meeting Supervisor
Responsibilities:
• Oversee the planning and onsite delivery of meetings, workshops, executive gatherings, recurring programs, and workplace events for both internal and external audiences.
• Coordinate full event logistics, including calendars, room configurations, catering, audiovisual support, security, signage, staffing coverage, guest experience, and day-of readiness.
• Create and manage event documentation such as project schedules, production timelines, floor layouts, staffing plans, show flow materials, and post-event summaries.
• Lead planning meetings with partners and stakeholders to confirm priorities, clarify ownership, and align teams on deadlines and expectations.
• Supervise a team of event professionals by setting daily direction, assigning work, coaching performance, and helping remove operational obstacles.
• Partner with vendors and internal groups to manage service delivery, budgets, contracts, and event-related resources while maintaining strong working relationships.
• Monitor event spaces, storage areas, furnishings, and supplies to keep environments organized, functional, and prepared for recurring use.
• Support activity across five nearby buildings, including regular movement between locations to ensure consistent execution and service standards.
• Identify process gaps and introduce improved workflows, templates, staffing approaches, and service practices that strengthen the meetings and events function.
• Step in during live events as needed to resolve issues quickly, maintain safety and accessibility expectations, and uphold brand and service quality standards.
Qualifications:
• At least 5 years of experience in event planning, meeting coordination, hospitality, workplace operations, facilities support, or a closely related field.• At least 2 years of leadership experience involving team guidance, mentoring, or direct supervision of staff.
• Demonstrated ability to manage several projects at once while balancing deadlines, service expectations, and changing business priorities.
• Strong background in coordinating vendors, event services, budgets, and operational details in a fast-paced environment.
• Proven skill in delegating assignments, reviewing work quality, and maintaining consistent execution across a team.
• Working knowledge of event operations within corporate or commercial environments, including high-profile and executive-facing programs.
• Strong communication and stakeholder management skills, with the ability to collaborate effectively across departments and service partners.
• Familiarity with facilities or workplace support functions, including space readiness, inspections, and coordination across multiple buildings.
