Executive Assistant
Responsibilities:
• Coordinate complex calendars, schedule meetings, and manage shifting priorities for multiple executives with accuracy and discretion.
• Provide day-to-day administrative support by handling correspondence, tracking action items, and ensuring follow-through on key initiatives and special projects.
• Prepare presentation materials, including PowerPoint decks and supporting documents, for board meetings and executive-level discussions.
• Organize internal events and employee activities, including holiday celebrations, gift preparation, and other engagement-related tasks.
• Process and reconcile expense reports through Concur while maintaining complete and accurate documentation.
• Assist with front desk and office support needs such as ordering snacks, replenishing supplies, and helping maintain a well-stocked workplace.
• Support onboarding coordination by arranging travel-related details, sharing rental car information, and assisting with logistics for new team members.
• Collaborate with executives and internal stakeholders to monitor project timelines, gather updates, and help keep deliverables on track.
Qualifications:
• Proven experience supporting senior executives or C-suite leaders in an administrative or executive assistant capacity.• Strong calendar management skills with the ability to coordinate multiple schedules and adapt quickly to changing demands.
• Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, as well as Microsoft Teams.
• Experience preparing detailed correspondence, documentation, and presentation materials for leadership audiences.
• Hands-on experience submitting or managing expense reports, preferably using Concur.
• Excellent organizational skills, sound judgment, and the ability to handle confidential information with discretion.
• Comfortable managing office coordination tasks while maintaining a high level of service.
• Familiarity with Adobe, Smartsheet, CRM tools, or similar business applications is a plus.
Compensation
