Administrative Assistant
Responsibilities:
• Provide day-to-day administrative support to help maintain efficient office operations.
• Welcome visitors and serve as a detail-oriented first point of contact for guests, staff, and incoming communications.
• Prepare and process invoices, track unpaid balances, and assist with resolving outstanding billing items.
• Maintain inventory of workplace materials and coordinate timely ordering of office supplies as needed.
• Support onboarding activities by assisting with orientation for new team members and related administrative documentation.
• Complete and organize property-related forms, records, and general administrative paperwork with accuracy.
• Update internal charts, staff directories, and office records to ensure information remains current and accessible.
• Assist with basic technology troubleshooting for common office issues and support staff with routine system needs.
Qualifications:
• Previous experience in an administrative, office support, reception, or customer-facing role.• Strong organizational skills with the ability to manage multiple priorities in a busy office environment.
• Confidence working independently and taking on responsibilities quickly with limited training.
• Proficiency with Microsoft Office applications, including Outlook, and comfort learning additional software tools.
• Accurate data entry skills and attention to detail when handling invoices, directories, and administrative records.
• Strong communication skills and an outgoing, approachable demeanor when interacting with visitors and colleagues.
• Prior experience in the non-profit sector or exposure to housing or property management environments is preferred.
