Executive Assistant
The Executive Assistant provides high-level, confidential administrative and operational support to senior leadership. This role manages complex calendars, coordinates meetings and events, prepares executive communications and materials, and supports departmental operations, including budget administration and office logistics. Serving as a key point of contact for internal and external stakeholders, the Executive Assistant helps drive the successful execution of projects and strategic initiatives in a fast-paced environment.
- Provide executive support to the Vice President, Chief Operations & Finance Officer, including calendar management, travel coordination, correspondence, and member communications.
- Assist with budget oversight by coordinating documentation, reviewing expense reports, and processing check requests and credit card statements.
- Maintain and manage the contract database in partnership with the Senior Director of Finance.
- Provide administrative support to board committees and membership affinity groups associated with the Vice President, Chief Operations & Finance Officer.
- Respond to member inquiries and requests on behalf of the Vice President, Chief Operations & Finance Officer.
- Maintain executive records, contact databases, distribution lists, and other administrative systems in collaboration with Member Services.
- Participate in training initiatives and adopt new processes, technologies, and best practices to support organizational effectiveness.
- Handle highly confidential finance, board, and employee-related information with discretion and professionalism.
Qualifications:
- 3+ years of administrative support experience, including at least 1 year of office management experience.
- Demonstrated ability to exercise sound judgment.
- Ability to work independently, manage multiple priorities, and meet deadlines.
- Familiarity with office operations and support services, and ability to quickly learn other operating systems.
- Experience coordinating building and facility operations, including office-related facilities management responsibilities.

Compensation
