Position Highlights:
1.0 FTE (40 hours per week)
$29.18-$35.74/hour DOE with the ability to go higher for highly experienced candidates

What You’ll Do:
Payroll Tax Administration
Administers payroll tax processes and compliance activities.
Reviews payroll tax filings and reconciliations.
Researches and resolves payroll tax discrepancies.
Coordinates tax notices, audits, and inquiries.
Monitors changing payroll tax regulations and requirements.
Partners with the HRIS Analyst to maintain payroll tax configurations, tax table updates, testing activities, and system changes impacting payroll tax compliance.
Coordinates and supports quarterly and annual payroll tax filings, reconciliations, balancing activities, and required regulatory submissions.
Provides year end payroll tax and W-2 support including validation, reconciliation, issue resolution, corrections, and employee support.
Reviews payroll tax balancing, reconciliation, and filing activities to ensure compliance with federal, state, and local requirements.
Maintains documentation supporting payroll tax filings, corrections, regulatory inquiries, audit requests, and compliance reviews.
Garnishments and Deductions
Administers wage garnishments, child support orders, tax levies, and other court ordered deductions.
Ensures compliance with applicable federal and state regulations.
Serves as point of contact for employees and agencies regarding garnishments.
Monitors compliance with garnishment orders, tax levies, bankruptcy orders, and other involuntary deductions and resolves discrepancies as needed.
Retirement Administration
Administers retirement plan payroll deductions and contributions and ensures accurate payroll processing and reporting.
Performs retirement plan payroll reconciliations.
Supports retirement plan audits and compliance requirements.
Coordinates payroll activities related to retirement plan administration.
Payroll Balancing and Reconciliation
Performs payroll balancing and reconciliation activities.
Reconciles payroll deductions, taxes, liabilities, and benefit contributions.
Identifies and resolves payroll variances and exceptions.
Supports month end, quarter end, and year end payroll reconciliation requirements.
Analyzes recurring payroll variances, exceptions, reconciliation findings, and error trends to identify systemic issues and recommend corrective actions.
Develops reporting and metrics to monitor recurring payroll risks and support process improvement efforts.
Collaborates with Accounting and Finance to investigate, reconcile, and resolve variances between payroll outputs and the general ledger.
Identifies root causes of payroll accounting discrepancies and supports corrective action planning.
Performs detailed payroll, tax, deduction, and liability reconciliations and escalates significant variances, risks, or compliance concerns to payroll leadership.
Maintains supporting documentation for payroll balancing, reconciliation activities, exception resolution, and audit readiness.
Reporting and Analysis
Prepares payroll tax, deduction, liability, balancing, and reconciliation reports for payroll leadership, Finance, Accounting, auditors, and regulatory agencies.
Supports financial reporting and audit requests.
Develops reports and analyses related to payroll liabilities and deductions.
Develops recurring metrics and trend analyses related to payroll taxes, garnishments, retirement deductions, reconciliation performance, exception rates, and compliance outcomes.
Monitors recurring payroll issues and identifies opportunities to improve controls, reduce risk, and strengthen payroll accuracy.
Compliance and Audit Support
Maintains documentation supporting payroll compliance, tax filings, reconciliations, and audit activities.
Assists with internal audits, external audits, retirement plan audits, and regulatory reviews.
Researches compliance issues, develops supporting documentation, and recommends corrective actions.
Supports implementation of payroll compliance initiatives, process improvements, regulatory changes, and corrective action plans.
Perform other duties as assigned
Qualifications:
Associate's degree in Accounting, Finance, Business Administration, Human Resources, or related field.
High School Diploma or GED and two additional years of relevant experience may be substituted.
Coursework or training in payroll administration, accounting, taxation, or financial reconciliation.
Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or related field is preferred.
Advanced coursework or certification related to payroll, taxation, accounting, or auditing is preferred.
Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) preferred.
Three (3) years of payroll, accounting, finance, tax administration, reconciliation, or related experience.
Experience performing payroll balancing, account reconciliations, payroll tax activities, deductions administration, or financial analysis.
Experience administering payroll taxes, garnishments, retirement deductions, and payroll compliance activities in a multi state environment is preferred.
Experience supporting audits, regulatory reporting, payroll system implementations, or process improvement initiatives is preferred.
Strong knowledge of payroll systems, tax regulations, and compliance requirements.
Ability to manage payroll processing independently and supervise clerical staff.
Ability to handle confidential information with discretion.
High level of accuracy, attention to detail, and discretion in handling confidential data.
Strong organization skills with the ability to multitask in a fast-paced environment.
Effective verbal and written communication skills.
Basic proficiency with Excel.
Basic proficiency with a variety of computer programs including Microsoft Outlook and Word.
Proficiency with UltiPro payroll and reporting system preferred.
Ability to prioritize work, handle a variety of tasks simultaneously, and complete projects in a fast-paced environment.
