Billing Analyst
Responsibilities:
• Prepare and review monthly client billing packages, ensuring invoices and supporting materials are accurate, timely, and ready for internal review meetings.
• Provide administrative support for client engagements by initiating conflict check documentation and managing the setup and closure of project or matter codes.
• Process employee expense submissions through Concur and reconcile corporate card activity with careful attention to supporting documentation and policy compliance.
• Arrange business travel, including flights, lodging, and ground transportation, while balancing scheduling needs and cost considerations.
• Organize meetings, conference calls, team events, and related activities, handling logistics and confirming that all participants have the information they need.
• Manage complex calendars to prevent scheduling conflicts and maintain visibility into key deadlines, appointments, and department commitments.
• Keep team members updated on upcoming responsibilities and important deliverables, following up proactively to help ensure priorities stay on track.
• Assess incoming requests and concerns, determine urgency, and coordinate the appropriate next steps with internal or external stakeholders.
• Serve as a central point of coordination across teams and external contacts, helping maintain clear communication and offering direction to additional support staff when needed.
• Contribute to special projects and broader departmental initiatives, while taking on other related duties as business needs evolve.
Qualifications:
• At least 3 years of experience in an executive administrative, billing, or high-level support role within consulting, business services, accounting, legal, or a similar environment.• Demonstrated ability to prepare client invoices, support accounts receivable activities, and manage high-volume billing work with accuracy.
• Experience completing expense reports and reconciling corporate credit card statements in a business setting.
• Strong proficiency with Microsoft Office, especially Microsoft Excel, along with the ability to work efficiently across standard business applications.
• Bachelor’s degree preferred; a background in business or a related field is advantageous but not required.
• Excellent written and verbal communication skills, with the ability to interact effectively with clients and colleagues at all levels.
• Strong organizational skills, close attention to detail, and the ability to manage multiple priorities while meeting deadlines.
• High level of discretion, dependability, and initiative, with the flexibility to work independently or collaboratively and adjust to changing business demands.
