Executive Assistant
Responsibilities:
• Manage complex calendars for leadership, coordinate scheduling priorities, and ensure executives are prepared for internal and external meetings.
• Arrange business travel, confirm itineraries, and handle related logistics to support efficient executive scheduling.
• Prepare meeting materials, organize agendas, and track follow-up items to help leadership stay aligned on key initiatives.
• Provide day-to-day administrative support for executive and HR functions, including document preparation, correspondence, and record organization.
• Assist with HR administrative activities such as maintaining policy-related documentation and supporting routine procedural workflows.
• Welcome visitors and serve as a courteous point of contact for staff and guests, creating a positive front-office experience.
• Use Microsoft Office tools, including Excel, to create reports, maintain organized information, and present data clearly.
• Support work involving electronic medical records and ensure information is handled accurately and with appropriate confidentiality.
• Contribute to operational continuity during leadership changes by helping coordinate administrative priorities and communication needs.
Qualifications:
• Prior experience in an Executive Assistant or senior administrative support role.• Demonstrated ability to manage calendars, coordinate executive meetings, and oversee travel arrangements with minimal supervision.
• Strong organizational skills with the ability to balance multiple priorities and meet deadlines in a busy office setting.
• Clear, service-oriented communication style with a welcoming approach when interacting with leaders, staff, and visitors.
• Proficiency with Microsoft Office applications, including Excel for tracking information and creating basic graphs or reports.
• Experience working with electronic medical records or other digital recordkeeping systems.
• Ability to handle sensitive information with discretion and maintain a high level of accuracy and confidentiality.
Compensation
