Sr. Administrative Assistant
Responsibilities:
• Provide administrative support to two managers and a director, ensuring schedules, documents, and ongoing priorities are managed efficiently.
• Coordinate virtual meetings, webinars, and stakeholder sessions, including scheduling, preparation of materials, and follow-up with presenters or attendees.
• Assist with vendor invoice processing, contract-related documentation, and accurate data entry to support project activities.
• Maintain organized electronic records, including SharePoint tracking and file management for easy retrieval and compliance.
• Support statewide program administration by preparing materials, organizing information, and responding to operational needs from internal and external stakeholders.
• Manage calendar logistics and conference call arrangements to keep meetings and appointments running smoothly.
• Help organize travel arrangements and related administrative details when needed.
• Prepare and update reports, presentations, and spreadsheets using Microsoft Office tools, especially Excel and PowerPoint.
Qualifications:
• Bilingual fluency in Spanish and English is required.• Previous experience in a senior-level administrative support role, preferably supporting multiple leaders or departments.
• Strong proficiency in Microsoft Excel and PowerPoint, with the ability to complete skills-based assessments if requested.
• Experience coordinating calendars, meetings, webinars, and conference calls in a detail-oriented setting.
• Ability to maintain accurate electronic files and work with document management platforms such as SharePoint.
• Strong organizational skills with the ability to manage several tasks and deadlines at once.
• Detail-oriented communication skills and the ability to interact effectively with stakeholders, presenters, and internal teams.
Compensation
