Administrative Assistant
Responsibilities:
• Provide day-to-day administrative support for program initiatives, special projects, and team activities across ministry operations.
• Coordinate calendars, schedule meetings, and keep shared team schedules updated so stakeholders are informed of upcoming activities and availability.
• Arrange travel plans and related logistics for program staff, ensuring itineraries and supporting details are accurately prepared.
• Gather information, conduct research, and organize materials to assist leaders with program planning and decision-making.
• Maintain digital and physical records, manage data entry tasks, and keep project files current, accessible, and well organized.
• Take meeting notes, document action items, and prepare concise summaries or briefs on key topics as needed.
• Compile, format, and distribute program documents, reference materials, and communication pieces for internal and external audiences.
• Process administrative documentation such as expense submissions and reconciliation support in accordance with established procedures and deadlines.
• Contribute to team coordination by tracking assignments, supporting staff meetings or retreats when requested, and assisting with ministry-related communications and newsletters.
Qualifications:
• Previous experience in an administrative assistant, office support, receptionist, or similar coordination role.• Strong ability to manage calendars, travel arrangements, records, and multiple ongoing tasks with accuracy.
• Proficient verbal and written communication skills, including the ability to handle inbound calls and interact courteously with a wide range of contacts.
• Demonstrated attention to detail and sound organizational skills in a fast-paced work environment.
• Ability to take initiative, follow established processes, and support both independent assignments and team-based work.
• Comfortable working in a hybrid schedule with three days onsite in Cleveland, Ohio.
• Alignment with a service-oriented, collaborative approach and the ability to represent the organization effectively.
Compensation
