Administrative Assistant
Responsibilities:
• Coordinate and maintain project documentation for two to three project managers, ensuring records are organized and easy to access.
• Prepare, distribute, and file administrative paperwork required for active projects and daily office operations.
• Upload project-related documents into client and job-specific platforms such as Procore, e-Builder, or similar systems, with training provided as needed.
• Track submittals and related project logs, helping the team monitor status updates and maintain accurate records.
• Send documentation forward for review and follow up as needed to keep project workflows moving efficiently.
• Provide general administrative assistance for meetings, including organizing materials and supporting scheduling or follow-up tasks.
• Enter and update data with a high level of accuracy across internal files and project systems.
• Support front-office needs such as answering inbound calls and assisting with general receptionist-related duties when needed.
Qualifications:
• Previous experience in an administrative assistant, office support, or similar coordination role.• Ability to manage multiple priorities in a busy work environment while supporting several team members at once.
• Strong document management and data entry skills with close attention to detail.
• Comfortable learning and using project or document management software such as Procore, e-Builder, or comparable tools.
• Strong communication skills, including the ability to handle phone inquiries and interact effectively with internal and external contacts.
• Proficiency with general administrative tasks such as preparing paperwork, maintaining logs, and organizing records.
• Reliable and detail-oriented approach suited to an in-office setting.
Compensation
