Accounts Payable Specialist
Responsibilities:
• Oversee the full invoice lifecycle by reviewing submissions, assigning correct account codes, confirming approvals, and entering transactions accurately into the accounting system.
• Evaluate freight-related billing, maintain supporting charge records, and update tracking documents to ensure reporting remains complete and reliable.
• Monitor payable aging reports, assess open vendor balances, and help determine which obligations should be included in scheduled payment cycles.
• Administer employee reimbursement activity and support the travel and expense platform to ensure timely and accurate processing.
• Examine credit card and other billing statements, investigate unusual or unclear charges, and route approved items for payment.
• Prepare and execute payment batches, including checks and electronic payments, while coordinating final disbursement details with accounting leadership.
• Match payments to remittance documentation, maintain organized vendor records, and support compliance activities such as 1099 preparation and audit requests.
• Process recurring commission payments and employee reimbursements related to approved safety equipment purchases.
• Provide backup assistance with accounts receivable tasks and contribute to additional accounting assignments as business needs require.
Qualifications:
• At least 3 years of experience in accounts payable or a closely related accounting function.• Demonstrated ability to handle invoice coding, payment processing, vendor account review, and general AP administration with a high level of accuracy.
• Strong Microsoft Excel skills, including practical experience using functions such as VLOOKUPs and PivotTables.
• Working knowledge of ACH transactions, check runs, and standard accounts payable controls and documentation practices.
• Experience with Microsoft Dynamics GP (Great Plains) is preferred.
• Excellent attention to detail, time management, and organizational skills in a deadline-driven setting.
• Clear communication skills and the ability to work independently while collaborating effectively with internal teams.
