IP Docketing Specialist
Overview
Robert Half is partnering with an intellectual property law firm to hire an experienced IP Docketing Specialist for a contract-to-hire opportunity. This role is ideal for a seasoned patent docketing professional who thrives in a fast-paced environment and enjoys taking ownership of critical portfolio management functions. The IP Docketing Specialist will serve as a central point of coordination for docketing operations, ensuring the accuracy of patent and trademark deadlines, communicating directly with clients, and helping establish scalable processes as the firm's IP practice continues to grow. This position is full-time and requires an experienced professional with a strong understanding of patent prosecution deadlines and portfolio management.
Key Responsibilities
- Manage and maintain patent and trademark docketing records, deadlines, and related filings.
- Monitor critical USPTO and foreign filing deadlines and ensure timely action on all docketed matters.
- Maintain accurate docketing systems, reminders, and tracking reports.
- Communicate directly with clients regarding deadlines, filing requirements, and next steps.
- Coordinate meetings, correspondence, and follow-up activities related to patent prosecution matters.
- Support matters involving provisional applications, office actions, examinations, and prosecution deadlines.
- Serve as a project manager for docket-related activities and workflow coordination.
- Partner with attorneys and staff to improve and streamline docketing processes.
- Assist with portfolio management and help build foundational docketing procedures as the practice
Qualifications:
- 10+ years of intellectual property docketing experience.
- Extensive patent docketing experience required; trademark docketing experience is highly preferred.
- Strong knowledge of patent prosecution procedures, deadlines, and USPTO practices.
- Experience managing and maintaining large intellectual property portfolios.
- Prior client-facing experience with the ability to communicate professionally and confidently.
- Demonstrated ability to work independently, prioritize competing deadlines, and exercise sound judgment.
- Exceptional attention to detail, accountability, and organizational skills.
- Experience working in a law firm environment, preferably a large or sophisticated IP practice.
- Self-starter with a proactive, solutions-oriented mindset and a strong sense of ownership.
- Ability and willingness to learn, adapt, and contribute within a collaborative, growing team.
Compensation
