Compensation: $110 to $130 Yearly

We are seeking an organized, highly proactive professional Chief of Staff to support senior leadership in coordinating priorities, managing cross functional initiatives, and ensuring key projects move forward efficiently. This position serves as a central point of coordination across multiple areas of the organization and requires strong judgment, follow through, communication, and project management skills.


The ideal candidate is comfortable operating in a fast paced environment, working independently, and bringing structure and accountability to complex initiatives involving multiple stakeholders.


Key Responsibilities

Executive Support and Strategic Coordination

Partner closely with senior leadership to organize priorities, prepare for key meetings, and manage competing initiatives.

Help leadership maintain visibility into important projects, deadlines, and organizational priorities.

Anticipate needs, identify potential issues, and proactively recommend solutions.


Cross Functional Project Coordination

Coordinate initiatives involving multiple departments and stakeholders.

Follow up on project milestones, identify delays or obstacles, and ensure appropriate parties remain aligned.

Serve as a central resource for gathering updates and maintaining visibility into the status of major initiatives.


Executive Reporting and Communications

Develop clear, visually engaging dashboards, presentations, project roadmaps, and status updates for senior leadership.

Translate complex project information into concise, actionable updates.

Help communicate organizational priorities, milestones, and progress to internal stakeholders.


Project Management and Accountability

Manage projects from initial planning through completion, including timelines, milestones, deliverables, and follow up.

Maintain project schedules and tracking tools to provide real time visibility into progress.

Monitor commitments and deadlines and proactively follow up with responsible parties.

Ensure decisions and action items resulting from meetings are documented and followed through to completion.


Process Improvement and Technology

Assist with documenting and improving internal processes, workflows, and standard operating procedures.

Identify opportunities to improve efficiency through technology, automation, and emerging AI tools.

Help develop practical systems and documentation that improve consistency and accountability across the organization.


Special Projects

Take ownership of high priority projects and assignments as directed by senior leadership.

Conduct research, analyze information, and develop recommendations to support business decisions.

Step into emerging operational needs and help resolve issues that require cross functional coordination.

Handle sensitive and confidential information with a high degree of professionalism and discretion.


Qualifications:

  • Highly organized with exceptional attention to detail and follow-through.
  • Strong project management and coordination skills.
  • Excellent written and verbal communication abilities.
  • Comfortable working with senior executives and department leaders.
  • Able to manage multiple priorities without losing sight of deadlines or important details.
  • Strong problem-solving skills with the ability to operate independently.
  • Comfortable creating presentations, dashboards, timelines, and other executive-facing materials.
  • Naturally proactive and willing to take ownership rather than simply wait for direction.
  • Demonstrated interest in using technology and AI to improve business processes.
  • Strong proficiency with Microsoft Office or comparable productivity and project-management tools.



Compensation

$110,000.00-$130,000.00 Yearly
