Front Desk Assistant
Responsibilities:
• Welcome visitors, provide clear directions, and serve as a helpful first point of contact for residents, guests, and community members.
• Manage a multi-line phone system by answering incoming calls, routing them appropriately, taking messages, and assisting with general inquiries.
• Support facility reservation activities by coordinating scheduling details, confirming room or event setup needs, and maintaining accurate calendar information.
• Assist with community programs and special events by helping organize logistics for social gatherings, celebrations, performances, and other recreational activities.
• Prepare reports, compile data, and complete administrative projects that support departmental planning and daily operations.
• Process program or event payments, handle ticket sales, and maintain accurate records related to assigned activities.
• Monitor front desk resources by restocking informational materials, updating public notice areas, and distributing equipment or access keys as needed.
• Communicate facility concerns or visitor issues to the appropriate staff or security personnel to help maintain a safe and responsive environment.
Qualifications:
• At least 2 years of experience in reception, front desk coordination, or administrative office support.• Proficiency with multi-line phone systems, data entry, and general clerical procedures in a busy office setting.
• Working knowledge of Microsoft Word and Microsoft Excel, with the ability to prepare reports and maintain organized records.
• Strong verbal and written communication skills, with the ability to interact professionally with visitors, staff, and an active adult community.
• Demonstrated ability to manage competing priorities, stay composed under pressure, and resolve routine issues effectively.
• Flexibility to work varied hours, including days, evenings, weekends, and holidays, based on event and facility needs.
• Valid California driver’s license and current automobile insurance required.
Compensation
