Records Manager
Responsibilities:
• Manage incoming requests for public records, subpoenas, and related document inquiries by reviewing, logging, and monitoring each item through completion.
• Coordinate the collection and delivery of requested materials such as agreements, agendas, meeting records, reports, drawings, and other official documents.
• Maintain organized tracking systems and accurate files to support records retention, retrieval, and reporting activities.
• Monitor requests submitted through online channels and ensure timely follow-up with internal teams and external parties.
• Assist with legally sensitive documentation needs, including support for subpoena-related records and other formal information requests.
• Prepare meeting packets, create supporting materials, record discussions, and distribute finalized minutes as needed.
• Produce administrative documents such as recognition certificates, payment-related paperwork, and other office correspondence.
• Provide attentive service to the public and internal departments while supporting additional clerical and operational projects as assigned.
Qualifications:
• At least 3 years of experience in records management, administrative support, or a closely related office-based role.• Demonstrated ability to handle confidential information with care while maintaining a high level of accuracy and organization.
• Strong written and verbal communication skills with the ability to respond clearly to both internal stakeholders and the public.
• Experience managing multiple deadlines and priorities in a structured, detail-driven environment.
• Proficiency with Microsoft Office applications for document preparation, tracking, and reporting.
• Background in public-sector administration, legal records support, subpoena processing, or public information requests is preferred.
• Familiarity with systems such as Granicus, CivicGov, Legistar, LegalKey, or FileSurf is a plus.
• Knowledge of compliance-related environments, including anti-fraud or AML-related documentation practices, is beneficial.
