Contract Administrator/Payroll
Hannah Savage with Robert Half is working with a client based in Rochester, NY who is looking for a detail-oriented Contract Administrator / Payroll Specialist to support both project administration and payroll operations within a construction environment. This role will play a critical part in managing construction contracts, project billing, job costing, and certified payroll compliance for prevailing wage projects. The ideal candidate will have previous contract administration experience with an open mind to learn payroll (if no prior experience) and be flexible to take on additional tasks as needed.
Key Responsibilities
- Administer construction contracts from project award through closeout, ensuring all documentation is accurate and organized.
- Prepare and process AIA billing and related project invoicing.
- Set up new projects within internal systems, including job records, cost codes, and project schedules.
- Maintain job costing data and accurately allocate labor expenses to the appropriate project phases and cost categories.
- Process weekly payroll for field and office employees, ensuring accuracy and timely completion.
- Prepare and submit certified payroll reports for prevailing wage projects in accordance with federal, state, and customer requirements.
- Track project-specific insurance certificates, compliance documents, and contract requirements.
- Review incoming contracts, change orders, and project documentation to ensure completeness and compliance.
- Assist with administration of employee benefit programs and related payroll deductions.
- Support accounting and project management teams with reporting, project cost analysis, and documentation requests.

Qualifications:
Qualifications
- Previous years of experience contract administration required
- Knowledge of certified payroll and prevailing wage requirements is a huge plus
- Experience with AIA billing and construction contract documentation.
- Understanding of job costing principles and labor allocation within construction projects.
- Proficiency with Microsoft Excel and Word.
- Familiarity with construction accounting or ERP systems; experience with ComputerEase or similar software is a plus.
- Working knowledge of insurance certificates, lien waivers, and project compliance documentation.
- Understanding of New York State sales and use tax regulations preferred.
- Strong organizational skills with the ability to manage multiple deadlines and priorities.
Compensation
