Administrative Assistant
Position Summary
We are seeking a detail-oriented and organized Administrative Assistant to provide administrative and clerical support to a busy office environment. The ideal candidate will be proactive, professional, and able to manage multiple priorities while maintaining a high level of accuracy and customer service.
This contract position offers an opportunity to contribute to daily office operations and support leadership, employees, and customers in a fast-paced setting.
Key Responsibilities
- Answer and direct incoming phone calls and greet visitors in a professional manner.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare, edit, and distribute correspondence, reports, presentations, and other documents.
- Maintain electronic and paper filing systems.
- Enter, update, and manage data within company systems and spreadsheets.
- Assist with invoice processing, expense reports, and other administrative tasks.
- Coordinate office supplies and maintain inventory levels.
- Support onboarding paperwork, employee records, and other administrative HR functions as needed.
- Monitor and respond to emails and general office inquiries.
- Assist with special projects and provide administrative support to management.
Qualifications:
Qualifications
- High school diploma or GED required; associate degree preferred.
- 2+ years of administrative, office support, receptionist, or customer service experience.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize tasks, meet deadlines, and work independently.
- Professional demeanor and strong customer service skills.
Preferred Qualifications
- Experience with document management systems, ERP systems, or CRM software.
- Previous experience supporting multiple departments or executives.
- Experience with DocuSign, Adobe Acrobat, or data entry-intensive environments.
- Background in healthcare, construction, manufacturing, professional services, or government settings.
Compensation
