Administrative Assistant
Position Summary
This is an ONSITE position located in Bethesda, MD.
National Capitol Contracting (NCC) is seeking an Administrative Assistant to serve as the first point of contact for employees, visitors, vendors, and other guests entering the facility. This position provides professional front desk coverage, answers general questions about the building, accepts packages, and directs visitors to the appropriate location or resource. The position also supports the Program Management Office with reporting, service ticket management, document preparation, and other general administrative duties.
Essential Duties and Responsibilities
- Greet employees, visitors, vendors, and guests in a friendly and professional manner.
- Serve as the primary point of contact at the front desk and provide general information about the building, available services, and meeting locations.
- Accept incoming packages and deliveries and notify the appropriate recipient.
- Assist with conference and event support when needed, supporting other event-related administrative tasks.
- Support the Program Management Office with recurring reports, calendars, spreadsheets, and other administrative documents.
- Monitor the service ticketing system for new requests, attendance alerts, urgent outages, and requests for assistance, and follow up on open tickets to maintain accurate records of their status and resolution.
- Perform other administrative, customer service, and event support duties as assigned.
Minimum Requirements
- Ability to obtain and maintain a Public Trust clearance (must be able to pass a criminal background and credit check)..
- High school diploma or equivalent.
- Two or more years of relevant customer service, hospitality, reception, office administration, or related experience.
- Proficiency with Microsoft Office programs, including Outlook, Word, Excel, and PowerPoint.
- Ability to learn and effectively use service ticketing, reporting, and document management systems.
- Excellent customer service skills and a professional, welcoming demeanor.
- Self-starter who can manage multiple priorities and maintain momentum with limited supervision.
- Ability to read, write, and prepare professional communications effectively.
- Ability to handle confidential or sensitive information appropriately.
Preferred Qualifications
- Previous experience supporting a government agency or federal customer.
- Previous front desk, concierge, reception, or administrative support experience.
- Experience using a ticketing service or work-order management system.
- Experience preparing reports, tracking service requests, or supporting a Program Management Office.
- Experience assisting with meetings, conferences, or special events.
Special Position Requirements
Schedule: Monday-Friday, 9am-6pm, with flexibility to meet business needs.
Compensation:
$50,000 - $55,000
