Position Summary:

The Facilities Manager is responsible for the overall management and daily operations of KIC's residential and commercial rental properties, including leasing, tenant screening, rent collection, property maintenance, and enforcement of KIC's Residential Rental Policies. The position is responsible for maintaining safe, clean, and orderly buildings and premises while providing responsive and professional service to tenants.

The Facilities Manager plans, budgets, and schedules facility maintenance, repairs, improvements, and modifications, including developing estimates for equipment, labor, materials, and related costs. This position supervises Facilities Management staff and external contractors and serves as an on-call resource for urgent tenant and property-related situations.


Responsibilities:

  • Supervises and directs the daily operations and personnel of the Facilities Management team and external contractors.
  • Serves as KIC's primary point of contact for tenant and property related matters; responds to tenant questions, concerns, complaints, and policy violations in a timely and professional manner.
  • Manages leasing activities, including advertising properties, soliciting applications, screening applicants, preparing lease documentation, and coordinating move-ins and move-outs.
  • Prioritizes, assigns, and monitors maintenance requests for KIC's residential and commercial properties.
  • Develop and maintain annual preventative maintenance schedules, property improvement plans, and operating budgets.
  • Plan, estimate, and coordinate facility repairs, renovations, modifications, and capital improvements, including labor, materials, equipment, and related costs.
  • Coordinate routine property inspections and maintenance activities to ensure compliance with applicable laws, building codes, safety requirements, and KIC policies.
  • Ensure Facilities Management staff receive appropriate training and maintain required certifications related to preventative maintenance, safety, and life-safety systems.
  • Maintain accurate property records, tenant files, leases, correspondence, work orders, inspection reports, and other Facilities Management documentation.
  • Prepare, administer, and analyze Facilities Management operating and maintenance budgets; review invoices, operating statements, and property-related expenses.
  • Collect and track rental payments, coordinate payment of property-related invoices, and assist with accounts receivable collections in cooperation with the KIC Accounting Department.
  • Coordinate with insurance companies and brokers to maintain appropriate coverage for KIC properties and assist with property-related claims.
  • Provide regular Facilities Management performance and financial reports to the KIC Board of Directors.
  • Distribute tenant notices and enforce applicable lease terms and KIC Residential Rental Policies, including addressing noise disturbances and other violations to promote the quiet enjoyment of KIC properties.
  • Maintain a safe, clean, comfortable, and well-maintained environment for tenants and visitors.
  • Remain available on-call to respond to urgent tenant, maintenance, safety, or property-related emergencies.
  • Perform other duties as assigned.

Requirements:

  • High School Diploma or GED
  • Three to five years of management experience.
  • Property management, facilities management, maintenance, or related experience preferred.
  • Knowledge of the Alaska Landlord-Tenant Act and familiarity with lease agreements, eviction processes, and collection procedures.
  • Strong customer service and interpersonal skills with the ability to work effectively with prospective and current tenants, employees, contractors, and vendors.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize multiple responsibilities, respond to time-sensitive issues, and make sound decisions independently.
  • Ability to work independently with minimal supervision and exercise sound judgment.
  • Ability to learn and effectively use property management, maintenance, accounting, and other software systems.
  • Ability to work an on-call schedule and respond to property emergencies as needed.

Working Environment:

The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position is fast paced in a multi-tasking environment requiring regular attendance. Work is on a full-time basis. Employee may work outside of normal business hours as needed and will be required to be on-call in the event of an emergency at a commercial or residential property. While performing job duties, the employee may be exposed to moving mechanical parts, fumes or airborne particles, and toxic or caustic chemicals.

  • Required to work standing up, walk, use hands and fingers to operate tools, equipment, and cleaning supplies.
  • Must be able to sit for prolonged periods of time at a computer.
  • Entering text or data into a computer or other machine by means of a keyboard.
  • Holding and grasping to review paper documents and to file documents in filing cabinets.
  • Speak and listen, both over the phone and in person to customers and co-workers.
  • Frequently required to reach with hands and arms and stoop, kneel, crouch, or crawl.
  • Occasionally required to work in a seated position, climb or balance and taste or smell.
  • Occasionally lift and/or move up to 25lbs.
  • Vision requirements include: close, distance, color, peripheral, depth perception, and ability to adjust focus
