General Summary:
The Program Assistant provides high-level administrative, operational, and logistical support to the Office of Strategic Priorities and Professional Development. Working collaboratively with a dynamic team responsible for a broad and highly visible institutional portfolio, the Program Assistant ensures the office operates efficiently, particularly during peak periods. The Program Assistant will contribute to work connected to the College's Strategic Plan; the Strategic Leadership Council; the Center for Truth, Community Healing and Transformation; and Professional Development. Responsibilities include assisting in the general administrative duties of the office such as procurement operations, maintaining documentation, providing logistic support and coordination for events, meetings, communities of practice, affinity groups, etc. This part-time position is well suited for a highly organized, dependable, and proactive professional who enjoys varied responsibilities, thrives in a collaborative and fast-paced environment, and takes pride in supporting meaningful work. The role offers significant exposure to strategic initiatives and college-wide programming, as well as the opportunity to develop professionally as the office and its portfolio evolve.
Duties and Responsibilities:
- Provide general administrative and clerical support in the Office of Strategic Priorities and Professional Development, as well as the Center for Truth, Community Healing and Transformation.
- Use the College's Banner Finance Management System for ordering, tracking, and reconciling budgets. Create and submit purchase orders, contact vendors to place orders, track delivery of purchases, reconcile discrepancies, and submit invoices to accounts payable. Research purchase requests for the administrative staff, vendors, and any other relevant stakeholders, as needed
- Provide administrative support during the annual cycle for the Professional Development mini-grants process, including application tracking, document preparation, and routine communications.
- Attend and provide logistical support for office-sponsored and other community-based events, including Professional Development Day, National Day of Racial and Community Healing, Day of Love, Acceptance, and Belonging, and other departmental initiatives.
- Process catering requests and food orders for meetings, trainings, and department sponsored events.
- Create and maintain spreadsheets using Microsoft Excel to compare and reconcile budget line items.
- Prepare and submit travel reimbursement forms for the staff.
- Book space for meetings, events, affinity groups, and other departmental initiatives using Coursedog.
- Greet and interact appropriately and professionally with staff, students, all members of the College community, and visitors, as needed.
- Maintain confidentiality of all staff and student information.
- Update departmental SharePoint sites.
- Perform other related duties as needed.
Job Requirements:
- Associate's degree, or an equivalent combination of education and experience.
- Work experience in office administration including proficiency in Microsoft Word, Excel, and standard financial record-keeping/accounting practices
- Strong interpersonal skills, organizational skills, and attention to detail
- Strong written and oral communication skills
- Ability to operate and troubleshoot standard office equipment
- Familiarity with social media and websites
- Experience with equity-minded work and/or understanding of individuals of diverse identities such as race, ethnicity, socioeconomic level, sexual orientation, veterans, and individuals with different academic preparation levels and varying physical and learning abilities.
Preferred Qualifications:
- Bachelor's degree
- Banner and Argos experience
- Bilingual skills a plus
Additional Information:
Salary Range: $21.25 per hour in accordance with the College's Part-Time Wage Schedule
Location: Lowell campus with occasional travel to Bedford as needed
Hours: 15 hours per week, scheduled on Tuesday, Wednesday, Thursdays. Schedule to be determined upon hire.
