Title: Program Assistant

Department: Adult Learning Center, Institutional Advancement

Reports to: Director of Adult Learning Center

General Summary: The Program Assistant provides administrative office management at the Bedford Campus for the diverse community of students, faculty, and staff of the Adult Learning Center and Links Program, which are funded by grants from the Department of Elementary and Secondary Education (DESE).

Duties and Responsibilities:

  • Provide office management for the administrative staff and instructors of the Adult Learning Center and Links Program
  • Greet and interact appropriately and professionally with staff, students, all members of the College community, and visitors
  • Maintain confidentiality of all staff and student information
  • Use the College's Banner Finance Management System for ordering, tracking, and reconciling budgets
  • Research purchase requests for the administrative staff and instructors
  • Create and submit purchase orders in Banner, contact vendors to place orders, track delivery of purchases, reconcile discrepancies, and submit invoices to accounts payable
  • Create and maintain spreadsheets using Microsoft Excel to compare and reconcile line items from the grant's budgets with Banner object codes
  • Prepare and submit travel reimbursement forms for the staff
  • Use College's Argos Reporting system to track student and class information
  • Register all ALC students with the college and submit to Enrollment for "A" numbers
  • Prepare and submit all Add to Course Masters forms to Enrollment
  • Schedule venues for classes, meetings, and presentations using Coursedog
  • Use social media to update program's Facebook page and assist with updating the program's MCC webpage
  • Update the departmental SharePoint sites
  • Assist program Coordinators with registration sessions as needed
  • Duplicate materials for instructors and the professional staff
  • Organize student materials per instructor requests
  • Maintain inventory of office supply and instructional materials
  • Provide assistance to the staff in problem-solving computer and office machine issues
  • Coordinate repairs and maintenance with Facilities and Information Technology departments
  • Perform other related duties as needed


Job Requirements:
  • Associate's degree, or an equivalent combination of education and experience.
  • Work experience in office administration including proficiency in Microsoft Word, Excel, and standard financial record-keeping/accounting practices
  • Strong interpersonal skills, organizational skills, and attention to detail
  • Strong written and oral communication skills
  • Ability to operate and troubleshoot standard office equipment
  • Familiarity with social media and websites

Preferred Qualifications:

  • Bachelor's degree
  • Banner and Argos experience
  • Bilingual skills a plus


Additional Information:

Salary Range: $21.25/hour in accordance with the College's Part-Time Wage Schedule

Location: Bedford campus with occasional travel to Lowell as needed

Hours: 15 hours per week, schedule to be determined upon hire

Expected Start Date: September 2026
