Administrative Assistant
Responsibilities:
• Welcome clients, answer incoming calls, and provide day-to-day administrative support for housing-focused programs in a courteous and attentive manner.
• Evaluate client circumstances, gather required information, and help determine program eligibility and service needs for individuals and families facing housing instability.
• Assist participants with housing searches, application steps, and rent affordability reviews in alignment with program guidelines.
• Educate clients on renter expectations, lease-related responsibilities, and effective ways to navigate concerns with landlords or property managers.
• Coordinate with property owners, community partners, and service providers to support placements, resolve issues, and encourage stable housing outcomes.
• Maintain organized client records, complete data entry, and prepare monthly, quarterly, and annual reports to satisfy funding and compliance standards.
• Monitor housing units for program suitability and quality expectations while documenting findings and follow-up actions as needed.
• Support workshops, coaching sessions, and group activities that encourage self-sufficiency, employment readiness, and long-term housing stability.
• Participate in team meetings, trainings, and process improvement efforts, including updates to service procedures and documentation practices.
• Carry out additional administrative and program support duties as assigned to help meet agency goals and regulatory requirements.
Qualifications:
• Experience in administrative support, front desk coordination, receptionist work, or office operations.• Ability to manage inbound calls, perform accurate data entry, and maintain detailed records in a timely manner.
• Strong written and verbal communication skills, with the ability to interact effectively with clients, staff, and external partners.
• Comfortable handling sensitive information with professionalism, discretion, and attention to accuracy.
• Ability to interpret program rules, follow established procedures, and complete required reporting for compliance purposes.
• Strong organizational skills with the ability to balance multiple priorities in an office and community-based service environment.
• Proficiency with standard administrative systems and general office technology.
• Commitment to supporting individuals and families with empathy, respect, and a service-oriented approach.
Compensation
