Administrative Assistant
We are looking for an organized Administrative Assistant to support daily office operations. This long-term contract position is fully onsite and will serve as a key point of coordination for front desk coverage, scheduling, travel arrangements, and general administrative support. The role works closely with leaders, project teams, and visiting executives in a fast-paced office that can be especially busy earlier in the week. Success in this position requires sound judgment, strong prioritization skills, and a careful approach to handling multiple requests throughout the day.
Responsibilities:
• Welcome visitors, manage the reception area, and handle incoming calls with a courteous and attentive demeanor.
• Coordinate calendars, meetings, and administrative logistics for directors, project managers, and other office leaders.
• Arrange business travel, prepare itineraries, and support related scheduling details for employees and visitors.
• Order meals for meetings and events while ensuring timing, accuracy, and alignment with office needs.
• Oversee routine office support tasks such as maintaining supplies, assisting with facilities-related requests, and keeping shared spaces organized.
• Enter and update information accurately in internal systems and documents to support day-to-day business operations.
• Prepare, format, and distribute materials using Microsoft Office applications, including Word, Excel, PowerPoint, and SharePoint.
• Respond to shifting priorities by assessing urgency, communicating with stakeholders, and adjusting support activities as needed.
Qualifications:
• At least 3 years of experience in an administrative, front desk, receptionist, or office support role.• Strong working knowledge of Microsoft Office Suite, including Excel, PowerPoint, and related business tools.
• Experience managing inbound calls, greeting guests, and representing the office in a detail-oriented manner.
• Ability to perform accurate data entry and maintain organized records across multiple administrative tasks.
• Demonstrated skill in coordinating schedules, travel arrangements, and general office activities.
• Strong time-management abilities with the capacity to balance competing priorities effectively.
• Comfortable working fully onsite in King of Prussia, Pennsylvania, within a busy office environment.
Compensation
