POSITION SUMMARY
The Project Materials Manager is responsible for coordinating material takeoffs, Bills of Materials (BOMs), equipment
submittals, material pricing, procurement tracking, and project material schedules. This position serves as a key support role within
the Engineering team, helping ensure that material requirements are accurately identified from engineering documents, drawings,
and project specifications and properly coordinated with Estimating, Procurement, Project Management, and Production.
The Project Materials Coordinator will help maintain visibility of material requirements, long-lead items, pricing, procurement status,
and delivery schedules across multiple projects.
MATERIAL TAKEOFFS & BOM DEVELOPMENT
• Perform detailed material takeoffs from architectural, structural, mechanical, electrical, and plumbing drawings and engineering
documents.
• Develop, maintain, and update Structural and MEP Bills of Materials (BOMs).
• Review drawings, specifications, and engineering documents to identify required materials and equipment.
• Verify quantities and identify discrepancies between drawings, BOMs, specifications, and project requirements.
• Update BOMs as engineering revisions and project requirements change.
• Coordinate with Engineering regarding material requirements and design changes.
ENGINEERING TEAM SUPPORT
• Support the Engineering team with project material requirements.
• Follow up with Engineers regarding outstanding material selections, design information, specifications, and revisions.
• Assist Engineers in identifying appropriate materials and equipment based on project requirements.
• Review engineering drawings and models to ensure materials being procured align with the current design.
• Communicate material-related questions and discrepancies to the appropriate Engineering team member.
• Assist the Engineering team with maintaining accurate project documentation.
MATERIAL PRICING & VENDOR COORDINATION
• Obtain and compare material and equipment quotes from vendors and suppliers.
• Track material pricing, availability, lead times, and estimated delivery dates (ETA).
• Coordinate with Procurement and vendors to confirm pricing, availability, and delivery schedules.
• Follow up with suppliers regarding fabrication, shipping, and delivery status.
• Maintain historical pricing and vendor information for future projects.
• Identify potential material shortages, pricing issues, or long-lead items and communicate them to the appropriate project team
members.
PROJECT BOM & MATERIAL TRACKING
• Create and maintain a daily project BOM tracking system in Microsoft Excel.

• Track material quantities, pricing, order status, lead times, ETAs, and outstanding requirements.
• Maintain accurate material tracking for multiple projects simultaneously.
• Coordinate material requirements with the overall project schedule.
• Provide regular material status updates to the project team.
• Identify items that may affect engineering, fabrication, production, or project schedules.
EQUIPMENT SUBMITTALS
• Prepare and coordinate equipment and material submittals.
• Review vendor submittals against project specifications and engineering requirements.
• Coordinate submittal comments and revisions with Engineering.
• Track submittal status, approvals, and required follow-up.
• Maintain organized records of approved equipment and material selections.
ESTIMATING SUPPORT
• Assist the Estimating Team with material takeoffs during the bidding and pre-construction process.
• Verify quantities and material requirements for estimates.
• Obtain vendor pricing to support estimates and budgets.
• Assist in identifying long-lead, high-cost, or specialty materials during estimating.
• Provide Engineering and Estimating with accurate material information.
PROJECT SCHEDULE & RISK MANAGEMENT
• Review project schedules to ensure material requirements are aligned with fabrication and construction milestones.
• Identify long-lead materials early in the project.
• Monitor procurement activities and delivery dates.
• Communicate potential material delays or shortages to the project team.
• Assist in developing solutions to minimize schedule impacts.
• Maintain visibility of critical material requirements throughout the project lifecycle.
DOCUMENTATION & COORDINATION
• Maintain organized records of BOMs, material takeoffs, vendor quotes, equipment submittals, approved materials, purchase
information, material ETAs, engineering revisions, and procurement status.
• Support multiple projects while maintaining accuracy and meeting deadlines.
• Participate in project coordination meetings as required.
• Provide material-related reports and updates to the project team.

QUALIFICATIONS
• Experience in modular, prefabricated, commercial, industrial, or building construction preferred.
• Experience performing material takeoffs and developing BOMs.
• Understanding of structural and MEP materials and systems.
• Ability to read and interpret architectural, structural, mechanical, plumbing, and electrical drawings.
• Experience obtaining material and equipment quotes.
• Experience coordinating with vendors and suppliers.
• Strong Microsoft Excel skills.
• Strong organizational and communication skills.
• Strong follow-up and problem-solving abilities.
• Ability to manage multiple projects and deadlines.
• Ability to work effectively as part of an Engineering team.
