Employee Experience Specialist
Title: Employee Experience Specialist
The Employee Experience Specialist administers and coordinates programs, systems, records, resources, and activities that support Human Resources, Learning and Development, and the overall employee experience. This position is responsible for assigned program administration, scheduling, recordkeeping, communications, inventory, budget tracking, event coordination, and timely follow-up. The Employee Experience Specialist works collaboratively across the Employee Experience team to ensure departmental processes and employee programs are organized, accurate, and effectively executed.
Program and Systems Administration
1)Administer the learning management system, including course assignments, training records, completion tracking, reporting, and routine follow-up.
2)Administer WEOKIE’s recognition programs, including Connect ADP, the online employee recognition platform.
3)Coordinate administration of the GiANT leadership development program, including scheduling, participant communications, materials, attendance, and recordkeeping.
4)Administer Asana for the Employee Experience team and assist with maintaining project information, assignments, deadlines, and recurring workflows.
5)Support administration of other Employee Experience systems and programs as assigned.
Employee Development and New-Hire Support
1)Coordinate scheduling and administration of 90-Day Success Plans, including site training coordination, review notifications, required follow-up, and recordkeeping.
2)Coordinate new-hire lunches and other designated onboarding activities.
3)Prepare, order, inventory, and distribute welcome boxes, name tags, employee materials, and related items.
4)Maintain applicable training, onboarding, and program documentation.
5)Assist L&D with scheduling, communications, materials, and other program needs.

MAJOR ACTIVITIES
Employee Programs and Department Support
1)Coordinate employee events and activities in partnership with Human Resources and Learning and Development.
2)Administer the WEOKIE Store, including product coordination, inventory management, order processing, and distribution.
3)Maintain the Employee Experience team calendar and coordinate department-wide schedules and deadlines.
4)Track the Employee Experience budget, expenditures, invoices, and available balances.
5)Procure and maintain department supplies, program materials, recognition items, and event resources.
6)Assist Human Resources with designated recordkeeping, documentation, routine follow-up, and administrative processes.
7)Provide additional administrative support during open enrollment and other periods of increased departmental activity.
Coordination and Accountability
1)Maintain accurate records, trackers, inventories, and supporting documentation for assigned responsibilities.
2)Monitor deadlines and outstanding items and initiate timely follow-up with employees, supervisors, vendors, and Employee Experience team members.
3)Prepare routine reports and updates regarding program participation, completion, inventory, expenditures, and other assigned measures.
4)Identify opportunities to improve the efficiency, consistency, and organization of assigned processes.
5)Work collaboratively across Human Resources and Learning and Development to support department priorities.
6)Protect confidential employee and organizational information.
7)Perform other duties as assigned by the Vice President of Employee Experience.
1)Assigned Employee Experience programs and systems are administered accurately and consistently.
2)Required scheduling, notifications, documentation, and follow-up are completed timely.
3)Employee records, training records, inventories, trackers, and budget information remain current and reliable.
4)New-hire, recognition, leadership-development, and employee-engagement activities are coordinated effectively.
5)Human Resources and Learning & Development receive responsive administrative support during routine and high-volume periods.
A. Specialized or Technical Knowledge and Skills:
1)High school diploma or equivalent required. Associate degree in human resources, business administration, organizational leadership, communications, or a related field preferred. Relevant administrative, human resources, training, event coordination, project support, or program administration experience may be considered in place of formal education.
