Administrative Assistant & Travel Coordinator (PERMANENT, FULL TIME, ONSITE)
Location: Local to Fairfield, CT
Schedule: Monday–Friday | Fully Onsite
Compensation: $65,000–$72,000, depending on experience (VERY STRONG benefits package, including MDV and 401k!)
Seeking a highly organized, detail-oriented Administrative Assistant & Travel Coordinator to join our client’s team near Fairfield, CT. This is a fast-paced role that combines administrative support, high-volume travel coordination, payment tracking, and exceptional customer service.
The ideal candidate is someone who thrives in a busy environment, can manage multiple priorities simultaneously, and has advanced Excel skills, including the ability to confidently work with complex formulas and large amounts of data. This individual will coordinate travel on a daily basis for a high volume of employees and/or travelers, ensuring that arrangements are accurate, organized, cost-effective, and completed on schedule.
Key Responsibilities
- Coordinate and manage high-volume domestic and some international travel on a daily basis
- Arrange flights, hotels, ground transportation, and other travel-related logistics
- Manage frequent changes, cancellations, itinerary updates, and last-minute travel requests
- Serve as a key point of contact for travelers, providing responsive and professional customer service
- Track travel-related expenses, payments, invoices, and outstanding balances
- Maintain accurate records and reporting related to travel and administrative expenses
- Utilize advanced Excel functions and complex formulas to track, analyze, reconcile, and report data
- Create and maintain spreadsheets, reports, and tracking systems
- Monitor deadlines and ensure all travel and payment-related items are completed accurately and on time
- Assist with general administrative responsibilities and organizational projects as needed
- Collaborate with internal teams and external vendors to resolve issues and ensure a smooth travel experience
- Travel approximately 1–2 times per year to assist with conventions and company events
Qualifications
- Previous experience in an administrative, travel coordination, operations, or similar role
- Advanced Excel proficiency is required (EXCEL ASSESMENT WILL BE REQUIRED TO COMPLETE)
- Must be comfortable using complex Excel formulas and working with large, detailed spreadsheets
- Strong organizational skills with exceptional attention to detail
- Ability to manage a high volume of requests and competing priorities in a fast-paced environment
- Professional, dependable, and solution-oriented approach
- Strong follow-through and ability to meet deadlines
- Willingness to travel approximately 1–2 times per year for conventions
