Tax Preparer
Responsibilities:
• Manage filing calendars and status trackers for multiple return types, ensuring tax work moves forward accurately and on time.
• Coordinate signature collection for completed returns, follow up with the appropriate parties, and prepare documents for timely submission to tax authorities.
• Process tax filings across applicable jurisdictions and distribute related tax documents to clients, beneficiaries, and outside accountants as needed.
• Maintain organized records for new and existing clients, including setting up files and keeping documentation current throughout the engagement lifecycle.
• Reconcile and monitor quarterly estimated tax payments, using spreadsheets to track amounts, deadlines, and submissions.
• Prepare, format, and proof routine tax correspondence and engagement materials for the department.
• Receive, scan, and route incoming mail such as notices, payments, and refund checks, ensuring prompt handling and accurate recordkeeping.
• Print, assemble, and prepare finalized tax returns for delivery while supporting multiple deadlines in a fast-paced environment.
Qualifications:
• 2-4 years of related experience in a tax, accounting, or financial services setting; a bachelor’s degree is preferred.• Prior exposure to tax return workflows is required, ideally within an environment handling individual, fiduciary, partnership, estate, gift, or foundation filings.
• Proficiency with Microsoft Office, especially Outlook, Word, and Excel, with strong spreadsheet skills for tracking and reconciliation work.
• Ability to learn new software platforms quickly; experience with OneSource Trust Tax, CCH Axcess, Lacerte, or similar tax applications is advantageous.
• Strong attention to detail with the ability to review written materials carefully and make minor edits to routine correspondence.
• Effective organizational skills with the ability to manage interruptions, prioritize competing tasks, and meet deadlines consistently.
• Clear communication skills and the ability to work well with tax professionals, legal teams, clients, and internal stakeholders.
• Availability to work onsite in a permanent role and provide additional hours during peak tax periods when needed.
