Facilities Assistant
We are looking for a Facilities Assistant to support daily workplace operations for an organization in Houston, Texas, 77056. This Contract position is ideal for someone who can balance responsive service, organized coordination, and strong follow-through across maintenance and office support activities. The role will help keep facilities running efficiently by partnering with vendors, internal teams, and property contacts while maintaining accurate records and schedules.
Responsibilities:
• Manage incoming facilities requests promptly, delivering dependable support while aligning with company standards and service expectations.
• Arrange preventive maintenance, repairs, and building inspections, and monitor each task through final completion.
• Support workplace improvement efforts such as office moves, renovation coordination, space planning activities, and general site enhancements.
• Act as a point of contact for internal stakeholders, external service providers, and landlord representatives to keep work progressing smoothly.
• Create and update key project records, including work scopes, timelines, cost tracking, and related documentation.
• Assist with sourcing vendors and coordinating service needs to support ongoing facilities operations and project work.
• Maintain facility schedules and service records using CMMS and other tracking tools to ensure accurate reporting and visibility.
• Help coordinate conference room and shared space readiness to support a well-organized and functional office environment.
Qualifications:
• Experience supporting facilities operations, workplace services, or building coordination activities.• Working knowledge of CMMS or computerized maintenance management systems.
• Ability to schedule multiple maintenance tasks, inspections, and vendor visits with strong attention to detail.
• Familiarity with vendor coordination, service follow-up, and maintaining productive external relationships.
• Experience tracking budgets, project details, or service-related documentation.
• Proficiency with conference room coordination and general office support processes.
• Strong communication skills for working with employees, service providers, and property contacts.
• Exposure to tools such as Kronos Timekeeping System is beneficial.
