Property Administrator
Responsibilities:
• Oversee daily property operations to help maintain a safe, clean, and well-managed residential environment for residents and staff.
• Guide and support onsite team members through hiring coordination, onboarding, training, scheduling, and day-to-day performance oversight.
• Administer resident waitlists, leasing documentation, move-ins, and recertifications in alignment with applicable housing regulations and fair housing standards.
• Coordinate maintenance activity by assigning work, tracking completion timelines, and partnering with vendors and internal teams on repairs, improvements, and preventative service.
• Prepare the property for inspections and audits by organizing required records, reviewing compliance materials, and ensuring documentation is readily available.
• Monitor site finances by maintaining records, supporting budget planning, tracking expenses, and helping keep operations within approved financial targets.
• Supervise rent collection, deposit tracking, occupancy reporting, and follow-up on delinquent balances in collaboration with management.
• Support unit marketing and leasing efforts in accordance with approved plans and relevant federal, state, and local requirements.
• Conduct unit and property inspections, issue follow-up notices when needed, and coordinate related work orders or resident chargebacks.
• Build productive working relationships with residents, board members, regulatory contacts, vendors, and internal partners to support effective property administration.
Qualifications:
• High school diploma or equivalent required.• At least 1 year of supervisory experience required.
• Prior experience in property management is preferred; a real estate license or Certified Property Manager designation is a plus.
• Working knowledge of affordable housing programs such as HUD, Section 8, or Tax Credit environments is preferred.
• Proficiency with Microsoft Office 365 and the ability to learn property management, accounting, and administrative systems quickly.
• Experience supporting accounting-related processes such as accounts payable, accounts receivable, billing, and budget tracking is preferred.
• Familiarity with business platforms such as CRM tools, JD Edwards EnterpriseOne, ADP financial systems, or related management software is beneficial.
• Strong organization, attention to detail, prioritization, and time management skills with the ability to meet deadlines consistently.
