Job Description

Job Summary:

The Department of Health Policy and Management (HPM) is committed to training and inspiring the next generation of health care leaders. Our students and faculty are passionate about making the world a better place by improving health and health care. We work on compelling and important problems, from making the delivery of care safer and more efficient, to expanding health insurance coverage and eliminating disparities, to designing and improving the performance of entire health systems.

Job-Specific Responsibilities:

  • The Academic Programs Coordinator provides administrative, technical, and analytical support to the Assistant Director of Academic Programs and Student Services in the Department of Health Policy and Management (HPM) and to the Faculty Director of Academic Programs in HPM, who also serves as the School's Senior Associate Dean for Educational Programs.
  • In this highly student-facing role, the Coordinator must demonstrate excellent judgment, strong organizational skills, and outstanding written and verbal communication. As the primary point of contact for prospective and current students in HPM's academic programs, the Coordinator responds to inquiries related to recruitment, admissions, technical support, course advising, and navigating the overall student experience at Harvard Chan.
  • The successful candidate will be comfortable working with a variety of student information, admissions, and learning management systems, including SOPHAS, my.harvard, and Canvas, and will provide guidance and technical support to faculty and teaching assistants using these platforms. The Coordinator also tracks academic program expenditures and maintains student records, degree audit information, and other program documentation.
  • The Coordinator develops, coordinates, and distributes a wide range of academic communications and materials, including the HPM Department Handbook, advisor resources, marketing materials, and electronic communications for students and faculty. Responsibilities also include preparing mailings to alumni and current students, administering the annual alumni survey, collecting marketing and competitive benchmarking data, and continuously identifying opportunities to improve the quality and effectiveness of program content and communications.
  • This position conducts data analysis and prepares reports related to academic programs, including admissions metrics, student exit surveys, alumni feedback, program evaluations, and other ad hoc analyses to support program assessment and decision-making.
  • The Coordinator also supports faculty, instructors, and teaching assistants in all aspects of curriculum planning and course administration, including CEP review, syllabus preparation, and Canvas course site management.
  • Serving as a primary liaison with departments across the School—including Admissions, the Registrar, Financial Services, the Office for Education, and the Office for Diversity and Inclusion—the Coordinator collaborates closely with the Office for Education to implement admissions processes and degree auditing for students in the Health Policy and Health Management tracks of the MPH program.
  • Working in partnership with the Assistant Director, the Coordinator plans and supports departmental programming for students, including orientation activities, cohort meetings, and social events. The Coordinator also participates in and supports School-wide events such as Admitted Students Day, Orientation, Graduation, Open Houses, and other academic programs, and performs additional duties as assigned.

PLEASE NOTE: This position will have a hybrid work schedule of 3 days in the office and 2 days working remotely pending the successful completion of the first 3-month orientation & review period. For the first three months, the expectation is that the position will be in the office 4-5 days each week for orientation, training, onboarding, relationship-building, etc.


Qualifications

Basic Qualifications:

  • 5+ years of related experience is require; a combination of education and experience may be considered

Additional Qualifications and Skills:

  • Bachelor's Degree
  • Administrative experience in academia
  • Experience with MS Office suite, analyzes data, manipulate spreadsheets, and prepare reports using data and feedback
  • Excellent interpersonal skills
  • Highly organized
  • Works well in a small and fast-paced office environment
  • Must use judgement, tact and discretion when handling confidential material
  • Experience effectively prioritizing tasks, and shift focus as necessary
  • Works independently and as past of a team
  • Experience and maturity to interact effectively with a wide range of people and personalities, including senior educational leaders at the School
  • Excellent organizational skills and prioritize work in an environment with multiple and conflicting interests
  • Proven project and/or program management skills
  • Excellent interpersonal and communication skills, including the working with a wide range of faculty, staff and students
  • Competency using a variety of computer software

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on .
