Legal Assistant
Responsibilities:
• Open new matters and ensure file setup is completed accurately and promptly.
• Prepare, scan, and organize legal forms, authorizations, and supporting documentation for case files.
• Obtain medical records, insurance documents, reports, and other case-related materials from external sources.
• Communicate with insurance carriers to report claims, request policy details, and follow up on outstanding information.
• Draft correspondence for attorneys and legal staff, and distribute documents in a timely manner.
• Maintain orderly physical and electronic client files, including scanning incoming mail into the case management system and routing materials to the appropriate team members.
• Track records, bills, and invoices, including posting charges and organizing documentation needed for case development.
• Assemble supporting materials for demand packages, copy and scan relevant documents, and provide administrative assistance to paralegals as needed.
• Coordinate incoming and outgoing mail, file documents for pre-litigation matters, and attend occasional client meetings when support is needed.
• Provide Spanish-language assistance during client or adjuster conversations when applicable and assist with additional office duties as assigned.
Qualifications:
• At least 1 year of experience in a legal assistant or administrative support role.• Strong organizational skills with the ability to manage multiple files, documents, and deadlines with accuracy.
• Clear written and verbal communication skills for effective interaction with clients, medical providers, and insurance representatives.
• Proficiency with computers and standard office software, including document scanning and electronic file management.
• Experience supporting legal file maintenance, calendar-related coordination, or e-filing activities is preferred.
• Familiarity with legal matters involving negligence, medical malpractice, or related case documentation is a plus.
• Stable work history and a dependable, detail-oriented approach to completing administrative tasks.
