Accounts Payable Specialist

We are looking for an Accounts Payable Specialist to join a non-profit organization in New York, New York on a Contract basis. In this role, you will help the accounting team reduce a high volume of outstanding credit card reconciliations while supporting day-to-day payable operations. This position works closely with the Accounting Manager and fellow AP team members to maintain accurate records, process vendor payments, and keep financial data organized.

Responsibilities:
• Reconcile corporate credit card activity and organize supporting receipts to resolve outstanding items accurately and efficiently.
• Process invoices from receipt through entry, ensuring correct account coding and timely preparation for payment.
• Review and update vendor and billing records to keep payment information complete, current, and accurate.
• Assist with ACH payments and check runs by preparing documentation and confirming payment details before release.
• Partner with the Accounting Manager and other accounts payable staff to manage daily workload and address aging items in the backlog.
• Use Excel to track reconciliations, monitor invoice status, and support reporting needs for the accounts payable function.
• Investigate discrepancies in invoices, receipts, and payment records and follow through to resolution with internal stakeholders or vendors.
• Support accounts payable activity within Sage Intacct, including data entry, record maintenance, and transaction review as needed.

Qualifications:

• At least 2 years of experience in accounts payable or a closely related accounting support role.
• Hands-on experience with invoice processing, account coding, and payment support activities.
• Strong Excel skills with the ability to organize data, track open items, and reconcile transactions.
• Experience handling credit card reconciliations and matching transactions to receipts or supporting documentation.
• Familiarity with ACH payments, check runs, and vendor record maintenance.
• Ability to work effectively in a team environment and coordinate closely with accounting staff and management.
• Experience with Sage Intacct is preferred.
• Strong attention to detail and accuracy when managing high-volume financial information.

Compensation

$23.75-$27.50 Hourly
