Workflow Coordinator
Responsibilities:
• Receive and review incoming assignments, confirm expectations with requesters, and establish practical delivery timelines based on workload and urgency.
• Organize and distribute work across multiple priorities, ensuring time-sensitive projects are handled efficiently and escalations are addressed promptly.
• Monitor document formatting and proofreading quality, applying established standards and reference materials to maintain accuracy and consistency.
• Serve as a primary point of guidance for questions related to document preparation, quality checks, and production best practices.
• Communicate proactively with clients and leadership regarding scheduling concerns, changing priorities, and issues that may affect completion times.
• Troubleshoot Microsoft Office and related business software issues that impact document production and day-to-day workflow.
• Support document intake and handling activities such as scanning, document processing, and coordination of clerical requests.
• Assist with mailroom and phone coverage duties as needed, including managing multi-line call activity and routing requests appropriately.
Qualifications:
• Demonstrated experience coordinating document workflows, administrative support tasks, or copy center operations in a detail-focused setting.• Strong working knowledge of Microsoft Office applications, with the ability to resolve common software and formatting issues.
• Experience with scanning, document scanning, and general document handling procedures.
• Ability to manage multiple assignments at once while meeting deadlines and adjusting to shifting business needs.
• Familiarity with proofreading conventions, formatting standards, and quality control practices for business documents.
• Effective verbal and written communication skills, with confidence in handling client requests and deadline discussions effectively.
• Experience supporting mailroom activities and answering a multi-line phone system is preferred.
