Receptionist
Responsibilities:
• Welcome visitors, interview candidates, and other guests with a courteous and attentive approach, creating a positive first impression for the office.
• Manage front desk traffic by overseeing guest check-in, coordinating visitor access, and promptly alerting employees when their attendees arrive.
• Maintain close attention to the lobby and reception areas to ensure they remain tidy, presentable, and appropriately supervised throughout the day.
• Accept incoming mail, deliveries, and packages, then sort and distribute items accurately while notifying recipients of important arrivals.
• Prepare meeting spaces ahead of scheduled events, restore conference rooms afterward, and report audiovisual or room-related concerns to the appropriate support team.
• Conduct daily walkthroughs of office suites and common areas to confirm spaces are clean, stocked, and ready for employees and guests.
• Replenish shared supplies such as beverages, snacks, and paper goods, receive delivered inventory, and escalate low-stock needs for reorder coordination.
• Support the interview experience by greeting candidates, informing the recruiting team of arrivals, offering refreshments, and keeping waiting areas neat.
• Assist with catered meetings by receiving food deliveries, arranging setup before events, cleaning up afterward, and communicating additional support needs to the administrative team.
• Provide general administrative assistance including printing, copying, scanning, and document handling while escalating requests outside the role’s scope to the designated contact.
Qualifications:
• Previous experience in a receptionist, front desk, or office support role.• Ability to manage a multi-line phone system and handle inbound calls effectively.
• Strong interpersonal and customer service skills with a welcoming demeanor.
• Comfortable balancing multiple tasks, prioritizing urgent needs, and staying organized in a busy office setting.
• Basic administrative skills including printing, scanning, copying, and document distribution.
• Dependable attention to detail when managing visitors, deliveries, meeting spaces, and office readiness.
• Ability to work independently while following established procedures for escalation and support.
• Experience supporting an organized office environment on a part-time or contract basis is preferred.
Compensation
