Human Resources (HR) Administrator
We are looking for a detail-oriented Human Resources (HR) Administrator to support recruiting operations in Saint Paul, Minnesota. This Long-term (1 year+) Contract position will focus on handling administrative tasks that help the talent acquisition team move candidates efficiently through the hiring process. The ideal candidate is highly organized, comfortable managing high volumes of information, and confident following up on time-sensitive documentation and pre-employment activities.
Responsibilities:
• Provide administrative support to the recruiting team by managing hiring-related tasks and reducing the day-to-day workload for talent acquisition staff.
• Monitor required forms, offer documents, and candidate follow-up items to help keep the hiring process on schedule after a conditional offer is extended.
• Enter, update, and verify candidate and requisition information across multiple platforms with a high level of accuracy.
• Transfer job and applicant details between systems and ensure records are complete, consistent, and ready for the next step in the process.
• Track outstanding documentation and communicate with internal stakeholders and candidates to secure needed information promptly.
• Maintain organized records related to compliance, background checks, and other hiring documentation.
• Support administrative coordination for recruiting activities and take on additional operational tasks as the role expands over time.
• Use spreadsheets and related tools to monitor progress, organize hiring data, and report on open action items as needed.
Qualifications:
• Previous experience in human resources administration, recruiting coordination, project coordination, or a similar administrative support role.• Strong organizational skills with the ability to manage multiple priorities and follow through on outstanding items.
• Proven accuracy in data entry and record maintenance within fast-paced administrative environments.
• Ability to work across multiple systems and handle repetitive process tasks with consistency and attention to detail.
• Experience supporting hiring activities such as offer letter administration, screening process administration, or compliance documentation.
• Proficiency with Microsoft Excel and general office software.
• Familiarity with NeoGov is preferred but not required.
• Strong written and verbal communication skills for following up with candidates and internal team members.
Compensation
