Front Desk Assistant
Responsibilities:
• Welcome residents, guests, and visitors at the front desk, provide accurate information, and direct them to the appropriate area or staff member.
• Manage incoming calls through a multi-line phone system, relay messages promptly, and route inquiries to the correct departments.
• Support facility reservations by coordinating scheduling details, confirming room setup needs, and assisting individuals and groups with event-related requests.
• Assist with community programs and special events by helping organize logistics for social gatherings, celebrations, performances, and similar activities.
• Prepare and maintain calendars, reports, records, and data entries to support department planning and day-to-day operations.
• Handle fee collection, ticket sales, and the checkout of designated recreational equipment or secured items in accordance with established procedures.
• Keep public information areas current by restocking flyers, updating posted notices, and maintaining community boards with accurate materials.
• Monitor front office activity and report facility concerns, operational issues, or security-related matters to the appropriate personnel.
• Provide administrative support to department leadership through research, document preparation, and assistance with special assignments and departmental initiatives.
Qualifications:
• At least 2 years of experience in reception, front desk coordination, or administrative office support.• Proficiency with multi-line phone systems, data entry, and general office software, including Microsoft Word and Microsoft Excel.
• Ability to create reports, organize information accurately, and maintain records with strong attention to detail.
• Strong verbal and written communication skills with the ability to interact professionally with residents, guests, and staff.
• Demonstrated ability to manage competing priorities, resolve routine issues, and remain flexible in a high-volume work environment.
• Availability to work a varied schedule that may include evenings, weekends, and holidays based on business needs.
• Valid California driver’s license and current automobile insurance.
• Ability to work effectively with active adult community members in a courteous and service-oriented manner.
Compensation
