Payroll Specialist
Responsibilities:
• Manage end-to-end biweekly payroll for salaried and hourly staff, including special payments, pay corrections, and retroactive adjustments.
• Audit time and attendance records to confirm accuracy, resolve inconsistencies, and ensure employees are paid correctly.
• Compute earnings such as overtime, differentials, incentive pay, and standard wages while maintaining current payroll records and deduction data.
• Administer required withholdings and legally mandated deductions, including garnishments and levies, in accordance with applicable regulations.
• Support year-end payroll activities by reviewing annual wage data, assisting with tax form preparation, and coordinating any necessary corrections.
• Prepare payroll-related reconciliations, record journal entries, and investigate variances affecting general ledger balances.
• Identify payroll system or configuration issues, resolve recurring errors, and recommend process improvements that strengthen accuracy and efficiency.
• Handle employee reimbursement payments and help verify timely payroll tax submissions while maintaining complete supporting documentation.
• Assist with grant accounting needs by contributing to reporting, invoice preparation, and cost allocation tracking for funded programs.
• Produce scheduled and ad hoc payroll reports, safeguard confidential employee information, and provide additional finance support as needed.
Qualifications:
• Associate degree in Accounting, Finance, Business, or a related discipline, or at least five years of hands-on payroll experience.• Minimum of 2 years of experience in payroll processing, including full-cycle payroll responsibilities.
• Working knowledge of payroll regulations, wage and hour compliance, tax withholdings, and payroll recordkeeping requirements.
• Experience with general ledger reconciliation, payroll accruals, and financial reporting; exposure to grant accounting is highly valued.
• Strong communication and analytical problem-solving skills with the ability to address payroll questions and resolve discrepancies effectively.
• Proficiency with Microsoft Office 365, including collaboration through Teams and other standard business applications.
• Ability to manage competing deadlines in a fast-paced setting while completing required trainings and health-related compliance items.
• Must be able to pass required background screening, drug testing, and applicable fingerprinting checks.
