Stock Administrator
We are partnering with a rapidly growing AI and defense technology company to source an experienced Stock Administrator for an immediate, fully remote temporary engagement following a recent corporate entity transition.
The Stock Administrator will serve as the company's internal equity administration subject-matter resource, applying hands-on stock plan administration experience to support the company's equity programs and oversee a time-sensitive record remediation initiative. Partnering with Legal, Finance, HR, and the company's third-party equity management provider, this individual will help oversee the remediation of more than 5,000 employee, investor, and shareholder records, validate the remediation approach and resulting records, identify potential gaps or discrepancies, and coordinate required follow-up.
Following the initial remediation project, there is potential for the assignment to extend to provide ongoing stock administration support based on business needs.
Responsibilities
- Provide hands-on stock plan administration expertise while overseeing the review and remediation of equity records in partnership with the company's equity management provider.
- Review equity records for accuracy and completeness and identify discrepancies or areas requiring follow-up.
- Partner with Legal, Finance, HR, and the company's equity management provider on equity administration matters.
- Support ongoing equity grant administration, stock issuances, and related recordkeeping.
- Respond to employee inquiries regarding stock holdings and equity records.
- Prepare and provide equity-related records, documentation, and reporting to internal stakeholders.
- Help maintain accurate and effective equity administration processes and records.
Qualifications:
- 5+ years of hands-on equity compensation or stock plan administration experience required.
- Demonstrated ability to independently assess the accuracy and integrity of equity records and understand what a properly functioning equity administration program and system should look like.
- Experience reviewing, reconciling, auditing, migrating, or remediating equity data, with the ability to identify discrepancies, missing information, and potential process or data-integrity issues.
- Experience with equity management platforms such as Carta, Shareworks, Equity Edge, or similar systems; direct Carta experience is preferred but not required.
- Experience independently coordinating complex equity administration projects and working with third-party equity providers to identify issues, track corrective actions, and drive work through resolution.
- Strong knowledge of equity compensation regulations and related tax implications.
- Advanced Excel and data-management skills with strong analytical capabilities and exceptional attention to detail.
- Strong communication and stakeholder management skills with experience partnering across Legal, Finance, HR, and external providers.
- Familiarity with global equity plans and cross-border compliance.
- Certified Equity Professional (CEP) designation preferred.
- Experience within a public company or pre-IPO environment preferred.
- Ability to work Pacific Time business hours.
Compensation
