Office Assistant
We are looking for a contract Office Assistant to support daily administrative and workplace operations in Austin, Texas. This role is ideal for someone who enjoys creating an organized, welcoming office environment while balancing front-desk support, supply coordination, and general administrative tasks. The position requires strong judgment, adaptability, and the ability to work independently while responding effectively to changing priorities. You will help keep the office running smoothly and contribute to a positive experience for employees, guests, and business partners.
Responsibilities:
• Greet guests, employees, and external visitors in a courteous and attentive manner while following established visitor check-in and building access procedures.
• Maintain shared office spaces by monitoring cleanliness, replenishing pantry and breakroom items, and preparing meeting rooms for daily use.
• Review and respond to office service requests, resolve routine workplace issues, and coordinate follow-up for time-sensitive needs.
• Submit facility-related requests to building management for items such as parking access, maintenance concerns, and general property support.
• Process incoming and outgoing mail, packages, and deliveries, ensuring accurate distribution and timely handling.
• Track, order, and replenish office and kitchen supplies while supporting purchase requests and receipt documentation in company systems.
• Provide administrative assistance with scheduling, meeting coordination, calendar support, and upkeep of office inventory records.
• Assist with the planning and execution of meetings, catering, internal events, and conference logistics.
• Prepare basic reports, presentations, and other business documents as needed, and collaborate with multiple departments to support operational priorities.
Qualifications:
• Previous experience in administration, office support, customer service, project coordination, or event support.• Ability to work with minimal supervision and quickly adapt to a new environment.
• Strong multitasking skills with the capacity to shift priorities in a busy workplace.
• Excellent organizational skills and close attention to detail.
• Clear and effective communication skills, including confidence interacting with senior leaders and visitors.
• Proficiency with Microsoft Office applications, especially Word, Excel, and PowerPoint.
• Resourceful problem-solving ability and a dependable, flexible approach to daily responsibilities.
• Basic technical knowledge, such as assisting with laptop setup or conference room readiness, is preferred.
Compensation
