Project Administrative Assistant

A well-established construction company in Oceanside is looking for a Project Administrative Assistant to support its Project Management and Operations teams. This position is ideal for someone who enjoys being involved in the details and wants to learn more about the business side of construction.
You'll work with Project Managers, subcontractors, vendors, and field employees to keep documentation, schedules, purchase orders, and project information organized. It's a hands-on position where being proactive and staying ahead of deadlines will make a huge difference.
Responsibilities
- Provide administrative support to Project Managers
- Maintain project files, contracts, change orders, and documentation
- Enter purchase orders and project information into internal systems
- Assist with subcontractor paperwork and compliance documents
- Coordinate meetings, site visits, and project schedules
- Track outstanding documents and follow up with vendors
- Assist with invoice processing and job-cost documentation
- Prepare project reports and spreadsheets
- Answer phones and assist with customer and vendor inquiries
- Help organize project closeout documentation
- Support Operations with additional administrative projects
Qualifications:
- 1–3 years of administrative, project coordination, or office experience
- Construction experience is preferred but not required
- Strong Excel and Outlook skills
- Excellent follow-up and organizational abilities
- Comfortable communicating with vendors and field personnel
- Ability to manage multiple deadlines
- Procore, Sage, Bluebeam, or similar software experience is a plus
Compensation
