General Summary: The Executive Assistant provides comprehensive administrative and operational support to the Vice President for Enrollment Management and Student Success and serves as the central coordinator for the daily operations of the Vice President's Office.
This position is responsible for managing executive office operations, coordinating complex administrative functions, facilitating communication across the division, supporting strategic initiatives, and ensuring the efficient operation of the Office of the Vice President. The Executive Assistant serves as a trusted partner who anticipates needs, exercises sound judgment, manages multiple priorities, and helps ensure that divisional priorities are organized, communicated, and successfully executed.
The successful candidate is highly organized, customer-focused, technologically proficient, adaptable, and committed to providing exceptional service to students, faculty, staff, and community partners. This position requires excellent communication skills, initiative, discretion, and the ability to work independently in a fast-paced environment while maintaining a positive and collaborative approach.
The Executive Assistant is expected to exercise independent judgment in organizing work, anticipating needs, improving administrative processes, and supporting the efficient operation of the Office of the Vice President.
Duties and Responsibilities:
Executive Office Administration
- Manage the daily operations of the Office of the Vice President.
- Coordinate the Vice President's complex calendar, including meetings, travel, conferences, speaking engagements, and special events.
Prepare meeting agendas, briefing materials, presentations, reports, and supporting documents.
- Monitor executive correspondence and assist in prioritizing communications requiring action.
- Maintain confidential files and sensitive information with the highest degree of professionalism.
- Serve as the primary administrative contact for the Office of the Vice President.
Executive Coordination and Operational Support
- Track divisional priorities, projects, and commitments to ensure timely follow-up and completion.
- Maintain systems for organizing action items, meeting outcomes, deadlines, and ongoing initiatives.
- Coordinate meetings involving multiple departments and external partners.
- Follow up with divisional leadership regarding assigned projects and deliverables.
- Prepare summary reports and status updates for ongoing initiatives.
- Assist in coordinating divisional planning activities, retreats, and leadership meetings.
- Identify scheduling conflicts or operational issues and recommend practical solutions
Communications
- Draft and edit executive correspondence, presentations, reports, meeting summaries, and other communications.
- Proofread materials for grammar, formatting, tone, and consistency.
- Coordinate distribution of divisional communications.
- Maintain templates and standardized documents.
- Respond to inquiries or route requests appropriately.
Technology and Office Systems
- Utilize technology to improve office efficiency and organization.
- Maintain electronic filing systems and shared digital workspaces.
- Support the use of Microsoft 365 applications including Outlook, Teams, SharePoint, OneDrive, Planner, Forms, and related software.
- Assist in organizing operational information, reports, and project documentation.
- Learn and adapt to new technologies that improve productivity and communication.
- Recommend improvements to administrative processes and office workflows.
Customer Service
- Serve as the first point of contact for visitors to the Office of the Vice President.
- Provide responsive, courteous, and professional customer service to students, employees, and community members.
- Build positive relationships throughout the College.
- Exercise diplomacy and professionalism when responding to inquiries.
Administrative and Financial Support
- Coordinate purchasing, travel arrangements, reimbursements, procurement, and event logistics.
- Assist with budget tracking and reconciliation.
- Process invoices and maintain financial records.
- Coordinate office supplies and equipment.
- Support special events and divisional programming.
Job Requirements:
- Associate's degree and at least four years of progressively responsible administrative experience, or an equivalent combination of education and experience.
- Experience supporting senior-level administrators or executives.
- Demonstrated ability to coordinate multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Demonstrated proficiency with Microsoft Office 365 and the ability to quickly learn new software applications.
- Strong customer service orientation.

- Experience improving administrative workflows through technology.

Additional Information:
