Accounts Payable Specialist

We are looking for an Accounts Payable Specialist to join a higher education organization in Brookline, Massachusetts in a fully onsite, contract-to-permanent role. This position is ideal for someone who combines strong payables experience with a service-oriented approach, as the role supports both finance operations and front office interactions. The right candidate will bring accuracy, follow-through, and confidence working with invoices, reconciliations, and day-to-day administrative support in a campus environment.

Responsibilities:
• Review and enter vendor invoices into the accounting system while maintaining timely and accurate payment processing for a weekly volume of transactions.
• Reconcile accounts payable records and corporate card activity to ensure charges are properly matched, coded, and supported by complete documentation.
• Investigate outstanding or incomplete credit card items by tracking down missing receipts and resolving discrepancies with internal stakeholders.
• Support routine payment activities, including check-related processes and verification of daily financial details as needed.
• Welcome students, visitors, and guests at the front office and provide helpful assistance or direction based on their needs.
• Respond to general inquiries in a courteous and efficient manner, helping maintain a positive experience for both internal and external visitors.
• Use systems such as Genzabar and Excel to organize financial information, maintain records, and prepare accurate account data.
• Partner with internal staff to keep payable workflows organized, compliant, and aligned with department expectations.

Qualifications:

• Prior experience in accounts payable or a closely related accounting support position.
• Strong attention to detail with the ability to process financial information accurately and consistently.
• Comfortable working in a public-facing setting and interacting professionally with students, staff, and visitors.
• Experience handling reconciliations, including accounts payable and corporate credit card activity.
• Working knowledge of Excel for tracking, reviewing, and organizing financial data.
• Ability to research discrepancies, gather missing documentation, and follow issues through to resolution.
• Familiarity with check runs, receipts tracking, and general invoice processing practices.

Compensation

$26.00-$31.00 Hourly
