Executive Assistant
Responsibilities:
• Manage executive calendars, arrange appointments, and prepare expense, mileage, and related administrative reports with a high degree of accuracy.
• Develop, edit, and format business materials such as correspondence, invoices, presentations, reports, and other leadership documents.
• Partner with front office staff to monitor and replenish office supply needs for executive operations.
• Organize meeting logistics for leadership, board, and cross-functional gatherings, including agendas, presentation materials, room setup, audiovisual readiness, and follow-up documentation.
• Coordinate recurring meetings with senior leaders and support special events, community initiatives, and internal sessions led by executive leadership.
• Maintain well-structured digital and paper filing systems for executive records, board materials, reports, presentations, and official correspondence.
• Track and facilitate completion of annual compliance and governance documentation, including disclosures, memberships, and ethics-related forms.
• Provide administrative coordination for onboarding sessions, board orientations, committee meetings, and strategic planning activities.
• Record, prepare, and distribute meeting minutes and information packets while ensuring materials reflect organizational standards and branding.
• Assist with additional projects such as spreadsheet creation, presentation development, written communications, and other executive support needs as assigned.
Qualifications:
• Bachelor’s degree with at least 3 years of administrative support experience at the Director or Vice President level, or a high school diploma with a minimum of 8 years of comparable executive support experience.• Prior experience in project coordination; project management exposure is preferred.
• Background supporting nonprofit leadership, volunteer groups, boards, or social service programs is preferred.
• Strong knowledge of office administration practices and the ability to manage multiple priorities effectively.
• Advanced proficiency in Microsoft Office, including strong PowerPoint skills, along with comfort using database systems.
• Excellent written and verbal communication abilities with strong attention to detail and professionalism.
• Demonstrated ability to work independently, collaborate across teams, and follow both written and verbal direction.
• Strong organizational, time management, and analytical skills, including the ability to interpret data, metrics, and outcomes.
Compensation
