Administrative Assistant
Responsibilities:
• Welcome site visitors, drivers, and vendors while directing inquiries appropriately and collecting relevant information before interrupting project teams.
• Coordinate calendars, schedule meetings, and organize group appointments using Microsoft Outlook and other standard office tools.
• Maintain office inventory by monitoring supply levels, placing orders, and ensuring the jobsite trailer remains stocked with essential materials.
• Arrange catering and meal support for meetings and site events, including setup and post-meeting cleanup as needed.
• Provide general administrative assistance such as data entry, email communication, document preparation, and record organization.
• Support a busy jobsite environment by handling multiple requests at once, prioritizing tasks effectively, and responding to questions in a courteous manner.
• Help maintain an orderly and functional workspace within the site office trailer, taking initiative to address day-to-day administrative needs.
• Act as a detail-oriented point of contact for unplanned vendor visits and protect the time of on-site staff by managing access and communication expectations.
Qualifications:
• Prior experience in an administrative, office support, or receptionist-focused role.• Proficiency with Microsoft Office applications, including Microsoft Word and Microsoft Outlook.
• Demonstrated ability to manage calendars, schedule meetings, and coordinate email correspondence.
• Strong organizational skills with the ability to handle changing priorities in a fast-paced setting.
• Comfortable interacting with visitors, delivery personnel, vendors, and internal team members throughout the day.
• Ability to remain calm under pressure and communicate clearly when managing interruptions or competing requests.
• Experience with data entry and maintaining accurate administrative records.
• Willingness to take initiative and support general office upkeep and coordination tasks as needed.
Compensation
