Receptionist
Responsibilities:
• Welcome visitors, manage guest check-in, notify internal contacts of arrivals, and provide a comfortable experience while guests wait.
• Operate a multi-line phone system, direct incoming calls accurately, and assist callers with clear and courteous communication.
• Maintain the appearance of the lobby and front desk area so the space remains neat, well-organized, and inviting throughout the day.
• Coordinate conference room bookings, track room availability, and prepare shared meeting spaces between appointments.
• Restock beverage and refreshment areas, and assist with meeting setup, catered lunches, and cleanup as needed.
• Process incoming and outgoing mail, including sorting, distributing, stamping, and supporting scheduled mail drop-off and pickup activities.
• Monitor office supply levels in reception, printer, and shared work areas, and alert management when replenishment is required.
• Provide onboarding support for new team members by helping with badge access, parking documentation, and welcome materials.
• Assist teams such as Marketing, Research, and Human Resources with general administrative tasks and employee engagement activities.
• Support workplace culture initiatives by helping coordinate recognition programs, office celebrations, and special events.
Qualifications:
• Previous experience in a receptionist, front desk, or customer-facing administrative role.• Ability to manage a multi-line phone or switchboard system with accuracy and courtesy.
• Strong verbal and written communication skills with a welcoming demeanor.
• Excellent organizational skills and the ability to handle multiple tasks in a fast-paced office environment.
• Proficiency with basic office technology, including email, calendars, printers, and standard computer applications.
• Dependable attendance and a consistent commitment to maintaining a detail-oriented front office presence.
• Ability to provide hospitality support, coordinate meeting spaces, and respond proactively to office needs.
Compensation
